Privacy Statement – Greenore Golf Club.
The General Data Protection Regulations (GDPR) comes into force throughout the European Union on the 25th May 2018.
Greenore Golf Club is a Data Controller and is committed to be fully compliant with the requirements of the General Data Protection Regulations in protecting and respecting your privacy.
This privacy statement explains when and why we collect personal information about our members, how we use it and keep it secure and your rights in relation to it.
We may collect, use and store your personal data, as described in this Data Privacy Statement and as described when we collect it from you.
Your privacy is of the highest importance to us and we will not release your personal data to any third party without your consent or when required by Law.

What type of Information we collect and why.
Type of Information: Member’s names, address, Telephone numbers, email address(es)
Purpose: Managing the Members membership of Club.
Legal basis of processing: Performing the Club’s contract with the member- renewal of membership, partaking in competitions/teams, results of competitions. Informing members of club meetings and events & Awards Cermonies.
Type of Information: Date of Birth/ age related information
Purpose: Managing membership categories which are age related.
Legal basis of processing: Performing the Clubs contract with the member.
Type of Information: Gender
Purpose: Provision of adequate facilities for all members.
Legal basis of processing: For the purpose of our legitimate interests in making sure we can provide sufficient & suitable facilities for all genders (including changing rooms/toilets). Members partaking in competitions and team events.
Type of Information: Handicap
Purpose: Managing club/inter club competitions which are handicap related
Legal basis of processing: Performing the clubs contract with the member.- eligibility for partaking in competitions/ teams.
Type of Information: If a member of any other Golf Club
Purpose: Managing the Members membership of Club
Legal basis of processing: To nominate home club for handicap qualifying purposes.
Type of Information: Photographs of members partaking in club events.
Purpose: Putting on the Club’s website and social media pages and press releases.
Legal basis of processing: Consent. We will seek the members consent on their membership application form and renewal form. The member may withdraw their consent at any time by contacting us by email or letter.
Where we process your personal information in pursuit of our legitimate interests in the management of the club, you have the right to object to us using your personal information for the above purposes. If you wish to object to any of the above processing, please contact us. If we agree and comply with your objection, this may affect our ability to undertake the tasks above for the benefit of you as a member of the club.
How we protect your personal information.
We are committed to ensuring that your information is secure, in order to prevent unauthorised access or disclosure, we have put in place suitable, physical, electronic and managerial procedures to safeguard and secure the information we collect from you.
How long we keep your personal information.
We will only keep your personal information for as long as necessary to provide you with membership services.
If you cease to be a member of the club in the absence of a legal basis for the retention of your personal data we will destroy/delete your personal data details.
Your rights in relation to your personal information are;
( a ) you have the right to request access to the personal information that we hold about you by making a ‘subject access request’ will provide you with a readable copy of the personal data which we keep about you within one month of receipt of this request-we may require proof of your identity. If the request is complex this period maybe extended to two months. We will provide this information free of charge.
We will however charge a reasonable fee when a request for information is manifestly unfounded or excessive or repetitive. We will also charge a reasonable fee for further copies of the same information. This fee is based on the administrative costs to provide the requested information.
( b ) If you believe any of your personal information is inaccurate or incomplete, you have a right to request that we correct or complete your personal information.
( c ) You have the right to request that we restrict the processing of your personal information for specific purposes.
( d ) If you wish us to delete your personal information you may request that we do so. Any request received will be considered under applicable data protection legislation. In the event that your request is not complied with and you remain dissatisfied you may appeal to the Office of Data Commissioner.

Open Club Competitions;
The data of persons who book online for Open Competitions in the Club will only be used to administer the competition for which they have entered and will not be used or stored for future marketing purposes.
In the absence of their consent the information they provide will only be used for the purpose for which it was provided.
In the absence of their consent the personal data of society organisers will only be used for the purpose for which it was provided.
Report of Data Breaches;
If unauthorised access to Personal Data is lost or stolen this will be notified to the Data Protection Commissioner with 72 hours of being identified.
Review of Personal Data;
Personal date will be reviewed regularly by an authorised person(s) for accuracy and completeness and will only be held whilst there is a continued need for it. Where appropriate it will be destroyed or deleted.
Employee’s Personal Data.
We hold a contract of employment with employee’s and as a result hold personal data on such employee’s. We will only use this personal data to comply with our obligations under the contract of employment.
We also have to process employee’s personal data for legal reasons- interactions with Revenue Commissioners, Health & Safety etc.
